Intercultural Communication and Reflexivity

Intercultural communication is not a technique for predicting a person from a cultural category. It is the practice of communicating across different experiences, norms, positions and power relations while remaining attentive to context. WTRBUS100 rejects the shortcut of treating 'culture' as a personality profile.

The same person can occupy multiple identities and organisational roles, and a group label cannot substitute for listening.

Reflexivity turns awareness into action. Before an interaction, examine your assumptions, purpose and authority. During it, notice who sets the agenda, whose language defines the issue, who has time to speak, and whether disagreement can be expressed safely.

Afterward, check your interpretation, record commitments, and change the process if the relationship or outcome shows a problem. Reflection that never changes practice is incomplete.

Power affects communication even when participants are courteous.

A manager may control timing, resources and final approval; a consultant may define which evidence counts; a student may expect another person to teach them without recognising the burden. Responsible communication makes these asymmetries visible and adjusts participation or decision rights rather than relying on goodwill.

Mistakes are possible, and the response matters.

A useful repair sequence is notice → pause → acknowledge → clarify → correct → follow through. Do not demand reassurance from the person affected or turn an apology into a performance of your intention. Acknowledge the effect, ask what correction is appropriate when it is reasonable to do so, and change the underlying process.

The goal is not conversational perfection; it is accountable relationship maintenance.

Repair a consultation meeting after a process failure

Q [4 marks]. AskSia-authored practice weighting, not an official mark scheme: A manager presents a finished proposal, asks invited representatives for 'cultural feedback', and becomes defensive when told the process was too late. Diagnose and redesign the interaction.
  • +1 practiceName the process problem: participants were positioned as validators after substantive choices had already been made.
  • +1 practiceIdentify power asymmetries in agenda, timing, information and decision rights rather than explaining the response as a cultural misunderstanding.
  • +1 practiceUse repair: acknowledge the late involvement and effect, pause the decision, clarify appropriate participation and avoid seeking reassurance.
  • +1 practiceRedesign the process with early involvement, mandate verification, resourcing, documented influence, review and a route for concerns.
The failure is structural, not merely interpersonal. Calling the meeting 'consultation' does not create influence when the proposal is already complete and the manager retains the agenda and approval. A responsible response is to acknowledge that the process confined participants to cultural validation, pause the decision, and ask how the relevant authority and participation should be established. The redesigned process should show when representatives enter, which decisions they can shape, how their time is resourced, how commitments are recorded and who can require review.
Sia tip — When a communication problem appears, inspect the process and decision rights before assigning it to cultural style.
Glossary

Key terms

Intercultural communication
Context-sensitive interaction across differing experiences and norms without reducing participants to predicted cultural traits.
Reflexivity
Ongoing examination of how assumptions, position and power affect interaction, followed by an observable change in practice.
Power asymmetry
Unequal control over agenda, information, resources, language, timing or decisions within a relationship.
Consultation
A process for seeking views whose quality depends on timing, mandate, information, influence and follow-through; the label alone guarantees none of these.
Repair
Accountable action after harm or error that acknowledges effect, corrects the immediate issue and changes the process that produced it.
Interpretive check
A deliberate step in which a listener tests whether their understanding is accurate instead of assuming agreement or meaning.
FAQ

Intercultural Communication and Reflexivity FAQ

Should I learn cultural traits to communicate better?

Broad context can help you prepare, but trait lists invite stereotyping. Enter with informed questions, listen to the actual people involved, recognise role and power, and check interpretations. Do not use a group label to predict an individual's preferences or to override what they say.

What makes consultation meaningful?

Relevant representatives need timely information, a grounded mandate, an opportunity to shape the issue before closure, clarity about decision rights, appropriate resourcing and visible follow-through. Consultation can still have limits, but those limits should be explicit rather than hidden behind an inclusive label.

How should I respond when corrected?

Pause, listen and acknowledge the effect without arguing that your intention was good. Clarify the needed correction if that does not place another burden on the person affected, correct the immediate statement or action, and change the process that allowed the error. Follow through later rather than seeking instant absolution.

Is reflexivity just reflective writing?

No. Writing can document it, but the test is whether awareness changes source selection, meeting design, language, participation, decision rights or accountability. A paragraph saying you respect different views is thin unless it shows what you did differently and why.

Study strategy

Exam move

Use a three-stage communication audit. Before: purpose, assumptions, mandate, information and power. During: agenda control, speaking time, interpretation checks, disagreement and decision influence. After: commitments, ownership, feedback, repair and review. Apply the audit to every major case and write one concrete redesign.

Practise turning cultural explanations into process questions—for example, replace 'they were reluctant to engage' with questions about timing, trust, representation and whether the invitation offered real influence. Rehearse the repair sequence in your own words so it remains available under pressure.

In assessment writing, avoid invented dialogue and universal style claims; analyse the evidence provided and label missing perspectives.
